Renewal application process

STEP 1 Review and determine scope

Review your current scope and determine the new scope of registration for your training organisation. You may apply to add and/or reduce your current scope of registration.

STEP 2 Compliance with AQTF

Ensure that your current systems and practices are compliant with the AQTF Essential Standards for Registration and its Conditions of Registration. Your organisation will need to deomonstrate that you meet the AQTF requirements fully during the application and audit process.

STEP 3 Apply online

Download the Renewal Application Guide from VETAB Online Services (on the left of the page) and read it, so that you understand the renewal process. Then, on the VETAB Online Services page, log on to start the renewal application process.

You will need a login and password to do this. If you do not have a password, or have forgotten it, please click on the appropriate link on the VETAB Online Service’s login page to apply for a password, which will involve providing your email address. A password will then be emailed to your organisation. For security reasons, your Chief Executive Officer must request a password for forwarding to their email address.

The application is done online. There is an online application form on which you will need to provide various details.

Please note if you wish to add TAA40104 or TAA50104 qualification to your scope of registration while renewing your registration, you need to lodge a separate amendment application. Please refer to the renewal and amendment application guide.

STEP 4 Send support evidence

You need to complete the application process by paying the application fee and forwarding support documents to VETAB. Please do so within 28 days of lodging your online application. The required support evidence for your application are listed in the Renewal  Application Guide as well as the ‘Pay and Lodge’ section of the online application form.

At the end of the re-registration process VETAB will keep some key documents submitted and the rest will be disposed of securely. If you would like any of the support evidence to be returned to you please attach a covering note to your application requesting a return and let us know how you would like the material to be returned (e.g. enclose a return envelope or we can contact you to pick up the material from our office).

STEP 5 Pay fees

If you are not applying for additions to your scope of registration, no fee is required for your renewal application as it is included in your RTO annual fee. Fees are required for any addition to scope (see the Fees page for more details).

If payment is required as part of your application, you may pay via credit card (MasterCard or Visa) or direct debit. Otherwise you can send a cheque or money order with the support documents to VETAB within 28 days of lodging your online application.

STEP 6 Checking applications

VETAB will check to see if your application is complete, i.e. if all required support documents and fees have been forwarded. If your application is incomplete, your organisation will receive an email from VETAB identifying the missing documents, and you will have 28 calendar days to provide the required documentation.

The VETAB Customer Service Standards timelines apply from the time we have checked that your application is complete.

STEP 7 Auditing

Once your application is complete, it will be allocated to an auditor. Your organisation will be audited against the AQTF Essential Standards for Registration and Conditions of Registration. You will be given 28 calendar days to rectify any non-compliance and provide evidence to VETAB.

STEP 8 Registration renewal

If your organisation complies with the AQTF standards, VETAB will grant the renewal of registration for up to five years under the Vocational Education and Training Act 2005 (VET Act). If your organisation does not demonstrate compliance with the AQTF standards, VETAB may refuse registration under the VET Act.
