Renewing registration
When to renew?
VETAB grants registration to RTOs for up to five years. To maintain your registered status, you must apply for renewal of your registration under the Australian Quality Training Framework (AQTF) three months before registration expires.
Your organisation will receive a reminder email six months before the expiry date of your registration. If you cannot meet the three-month timeframe, please write to VETAB using your organisation’s letterhead with an appropriate explanation and a proposed date for submitting the application.
If your renewal application is not received by VETAB prior to the expiry date, your training organisation’s details will be removed from the National Training Information Service (NTIS) and VETAB will commence action to cancel your training organisation’s registration.
To renew registration
To successfully renew your registration, you must meet the AQTF standards. VETAB may conduct a site audit of your organisation at this time to assess whether you are meeting the standards.
You must read and understand the AQTF:
- Essential Standards for Registration
- Conditions of Registration
- Users' Guide to the Essential Standards for Registration
Other relevant documents include the National Risk Management Guidelines and National Industry Regulator Engagement Guidelines. You can access these documents at www.training.com.au.
Note: A self assessment tool for the AQTF Essential Standards for Registration is available to assist RTOs re-registering assess their compliance with the requirements of the AQTF. Download tool
Compliance
RTOs need to demonstrate full compliance with the AQTF standards in order to renew their registration. VETAB can not approve applications from RTOs with significant non compliances identified at audit. Please refer to the Renewal Application Guide for more information.
Applicants for registration should be aware that they may be required to provide a National Criminal History Record Check.
Attending a workshop
You are strongly encouraged to attend a VETAB RTO workshop. These workshops cover a wide range of RTO-related topics.
Renewal process
For instructions on renewing registration, go to the Renewal application process page and follow the eight steps outlined there.
If you also wish to apply for renewal of your CRICOS (overseas students) registration, go the Renewing CRICOS approval page.
Reviewing your scope of registration
Please review your scope of registration before applying for renewal of registration. Please consider deleting from your scope of registration any qualifications or courses that have had no recent activity and also any superseded qualifications. Superseded qualifications are only required to ‘teach out’ enrolled trainees and/or apprentices under the Apprenticeships and Traineeships Training Program or to meet any licensing arrangements.
Adding TAA
if, when renewing your registration, you wish to have qualifications from
the TAA04 training package added to your scope of registration, you must submit
a separate online amendment application. Please refer to the renewal
application guide.
Do you have an expiring course on your scope?
Courses are usually accredited for a period of up to five years. VETAB will send an email to you listing your accredited courses on your scope of registration six months before the courses expire.
You may view the expiry date of the courses on your scope by going into the View Current Scope section of VETAB Online Services and clicking on the name of the course. You may also check course expiry dates by accessing the National Training Information Service (NTIS) website at www.ntis.gov.au. No additional students can be enrolled in a course once it has expired.
When an accredited course expires a new replacement course with a new NTIS course code may be accredited. If your RTO wishes to continue delivering training and assessment services in that particular area, you will need to apply to VETAB to amend your scope of registration to add the new course or a replacement Training Package qualification.
VETAB will not approve a registration application where an accredited course is due to expire within six months except, for example, when the course is a short course in which students can enrol and reach completion within that six-month period. Before lodging your application, please email VETAB to check if you consider your application meets this exception.
If you are the owner and/or developer of an accredited course, you should contact VETAB about developing a replacement course. Please go to How to get a course accredited for further information about this process.
